# What to Send After Someone Downloads Your PDF

A download is the start of a conversation, not the end of one. Here is a five-email welcome sequence, with the purpose, timing and a short example for each.

By Shri and Sarath · Published October 21, 2026 · 6 min read

Someone gave you their email address for a PDF. What happens next decides whether that address becomes a relationship or a name that never opens anything again. Many people send the file and then go quiet for weeks, which leaves the reader wondering why they signed up.

A short welcome sequence fixes that. One thing to be clear about first: SuperEbook makes the PDF and does not send email. You will write and schedule these messages in your own email tool. If you have not yet settled how the file reaches people, read [how to deliver a lead magnet](https://www.superebook.ai/blog/how-to-deliver-a-lead-magnet.md). If you have not made the file yet, start with [how to make a lead magnet](https://www.superebook.ai/guides/how-to-make-a-lead-magnet.md).

The timings below are suggestions to adjust, not measured recommendations. Your audience will tell you what feels right.

## The five emails at a glance

| Email | Purpose | Suggested timing |
| --- | --- | --- |
| 1. Delivery | Hand over the file and set expectations | Straight away |
| 2. Check-in | Ask if they found it and what they need | A day or two later |
| 3. One useful follow-up | Give a second small piece of value | A few days after that |
| 4. Soft invitation | Mention what you offer, without pressure | About a week in |
| 5. Re-engagement | Ask whether they still want to hear from you | After a stretch of silence |

A welcome sequence for new subscribers

## Email one: delivery

**Purpose.** Give them what they asked for, with no detour. The subject line should name the thing, and the link should be the first thing in the body. Say who you are in one line, because they may have signed up weeks of scrolling ago.

**Timing.** As soon as they sign up. A reader who waits for a file they were promised often assumes it is broken.

**Short example.** *Subject: Your one-page planner. Hi, here is the planner you asked for: [link]. It takes about ten minutes to fill in. I am Dana, and I write this list every Thursday. If the link does not work, reply and I will send it another way.*

## Email two: the check-in

**Purpose.** Find out whether the file arrived and what the reader hoped to solve. A plain question that invites a reply tells you more than any analytics screen, and starts a real conversation.

**Timing.** A day or two after delivery, long enough for them to have opened it.

**Short example.** *Subject: Did the planner open okay? Quick check that it reached you. If you have filled it in, what was the hardest part? Hit reply and tell me. I read every answer.*

## Email three: one useful follow-up

**Purpose.** Add a second small piece of value that builds on the first. This might be a short tip, a worked example or a common mistake. It shows the PDF was not a one-off and gives the reader a reason to keep opening your messages.

**Timing.** A few days after the check-in. Keep it to one idea. A second PDF is not needed.

**Short example.** *Subject: The mistake I see most on this planner. Most people fill in every line. Try leaving three blank and see what changes. Here is why I suggest it.*

## Email four: a soft invitation

**Purpose.** Say what you offer and make it easy to ask a question. This is where the PDF connects to your paid work. Keep the tone of a friendly mention rather than a pitch, and avoid pressure or fake deadlines.

**Timing.** About a week into the sequence, after the reader has had two useful messages from you.

**Short example.** *Subject: If you want a hand with this. I also work with a small number of clients one to one. If the planner raised questions you would like to talk through, here is how that works: [link]. If not, no problem, and the Thursday notes will keep coming.*

## Email five: re-engagement

**Purpose.** Some subscribers go quiet. A polite note gives them an easy way to say yes or leave. It also keeps your list made of people who want to be on it.

**Timing.** After a stretch with no opens or clicks, whatever length suits your sending pace.

**Short example.** *Subject: Still want these? I have not heard from you in a while, and that is fine. If the notes are not useful, there is an unsubscribe link below. If you want to stay, reply with one word and I will keep sending.*

## Three worked examples

**A health coach** with a routine planner. Email one delivers it with a plain note that it is general information, not medical advice. Email three shares one habit-stacking idea from client sessions, with names removed. Email four invites replies about a group programme. Wording stays about the method, and any health claims are kept out.

**A consultant** with a diagnostic checklist. Email two asks which item on the checklist was the hardest to answer. Email three walks through one item as a worked example. Email four mentions a short paid review and links to a page that explains what is included.

**A course creator** with a first-lesson workbook. Email two asks how far the reader got. Email three shares a short worked answer to the first exercise. Email four opens the door to the full course, and says honestly who it is and is not for.

## Rules about marketing email

Sending marketing email is regulated. Laws such as CAN-SPAM in the US, the GDPR in the EU, and the UK GDPR and PECR in the UK apply to many senders, and they cover things like consent and how people can opt out. The details differ by country and change over time, so check them for the places you and your readers are, and ask a professional if you are unsure. Your email tool may also have its own requirements.

## Make the PDF with SuperEbook

SuperEbook can turn your notes into the lead magnet, exported as PDF, EPUB or DOCX. It does not send email, host a form or run a sequence, so the five messages above belong in your own email tool. See [how to make a lead magnet](https://www.superebook.ai/guides/how-to-make-a-lead-magnet.md) for the method.

**Before you turn the sequence on**

- [ ] Write each email's one purpose in a single line.
- [ ] Send yourself email one and click the link.
- [ ] Put a real name and a reply address on every message.
- [ ] Include a working unsubscribe link in your tool.
- [ ] Check the marketing email rules that apply to you.
- [ ] Remove claims about results from every email.
- [ ] Plan to read the replies and adjust the sequence.

## Questions

**How many emails should a welcome sequence have?** Five is a reasonable starting point, but there is no fixed number. Begin with delivery and a check-in, and add messages only when you have something useful to say.

**Does SuperEbook send the emails?** No. SuperEbook makes the PDF, EPUB or DOCX. You send the emails from your own email tool.

**Should the first email contain a sales pitch?** It is usually better not to. The first message is a promise kept: the file they asked for. Save any mention of your services for a later email.

**What if people do not reply to the check-in?** Many will not, and that is normal. Look at which messages people open and click in your own tool, and use that to adjust the sequence rather than comparing with other people's numbers.

**Do I need consent to email someone who downloaded my PDF?** Rules about consent and opt-out vary by country, for example CAN-SPAM in the US, the GDPR in the EU, and the UK GDPR and PECR in the UK. Check the rules that apply to you before you send marketing email.
